When integrating platforms like Circle and HubSpot, automation becomes essential. My client needed multiple Zaps built into one project to streamline how member data moves between systems—eliminating manual effort and ensuring everything is always up to date.

✅ Project Goal

To automate and manage how Circle member activity reflects in HubSpot, covering subscriptions, courses, new members, and removals—so their CRM is always clean, current, and aligned with business needs.

⚙️ Zap Workflows Included

📥 New Member Subscriptions → HubSpot

When a new Circle subscription becomes active, the Zap:

Detects the subscription type (Monthly, Annually, or Free)
Finds or creates the contact in HubSpot
Updates subscription details on the contact record
Associates the contact with the correct subscription tier

✅ Ensures all subscriber records are accurate, segmented, and instantly actionable.

🎓 Course Completion → HubSpot

When a member completes a course in Circle, the Zap:

Pulls the course name, ID, and progress
Finds or updates the corresponding HubSpot contact
Associates that contact with a custom object for course data

🎯 This keeps contact profiles rich with learning activity and supports intelligent follow-up.

👤 New Circle Member → HubSpot Contact

Each time a new member joins the community:

They are either added as a new contact in HubSpot
Or, their existing contact record is updated with fresh data

💡 No member is missed—everyone has a clear, updated record.

🚫 Member Removal → HubSpot Status Update

If a member is removed from Circle:

Their contact is found in HubSpot
Their status is updated to “Banned” or “Inactive”
Optional: removed from specific workflows or marketing lists
