Overview

I created an automation to streamline the provisioning of physical security access for new hires using BetterCloud, Zapier, and Verkada. This ensures all legitimate employees receive timely door access, while audit data is captured for compliance—without any IT intervention.

Workflow Details

• Trigger: The process begins when a new user exceeds the threshold in Google Workspace, triggering an alert in BetterCloud.

• Conditions:

• The user’s title is checked. If the title is not “IT Test User”, the workflow continues.

• Automated Steps:

1. Wait 1 hour to allow upstream provisioning tasks to complete.
2. Use OneLogin to retrieve the user’s detailed profile information.
3. Create the new user in Verkada, provisioning them for physical security access.
4. Log the user’s information into a Google Sheet audit log via Zapier for compliance and traceability.

Impact

This automation reduced the delay between employee onboarding and security access by an average of 2 business days, and eliminated the need for manual account creation in Verkada. It ensures only valid users are created (excluding test accounts), and that all steps are logged for security auditing.
